Connect Your Google Business Profile
Go to Dashboard → Google Reviews → click "Connect Google Business Profile". It's read-only access — we pull your review link and rating. We never post anything on your behalf. Takes about 2 minutes.
What we access:
- Your Google Business Profile name
- Your current Google rating (so you can track progress)
- Your Google review link (included in the SMS)
Turn It On and Set Your Trigger
Toggle "Automated Review Requests" to ON. Pick your trigger: 3rd visit, 5th visit, or after reward redemption. Customize the SMS or use the default — both work well.
Default SMS template:
"Hi [Name], thanks for being a regular at [Cafe Name]! Would you mind leaving us a Google review? [Review Link]"
Tip: Keep it under 160 characters. Using their first name makes a difference.

When Should You Ask?
There's no single right answer — but there are clearly wrong ones. Here's how to think about it

Mid-Stage Visits
Sweet spot for most cafes
They've come back enough to mean it. They know your coffee, your staff, your vibe. A review from this person carries weight.
Reward Redemption

They just got their free coffee. They're happy. They've been coming back for months. This is the best possible moment to ask.
A practical starting point: Most cafes get good results from visit 3. It's early enough to capture volume, late enough that the customer knows you well. You can adjust at any time from your settings.
Common Questions
Is this actually allowed by Google?
Yes. Google's policy prohibits incentivized reviews — offering something in exchange for a review is against their terms. But asking customers for feedback via SMS is explicitly allowed. We don't offer any incentive, don't tell customers what to say, and don't filter by sentiment before sending. It's the digital equivalent of asking "how was everything?" — just consistent and automatic.
Which trigger works best — visit milestone or reward redemption?
Both work well, for different reasons. Visit milestones (3rd or 5th visit) give you consistent volume — anyone who comes back enough gets asked. Reward redemption targets your most loyal customers at their happiest moment, which tends to produce higher-quality reviews. Many cafes use visit milestone as their primary trigger because it fires more frequently.
What if someone leaves a bad review?
Because you're only asking people who've been back multiple times, the risk is low — someone unhappy enough to leave a negative review probably stopped coming back after visit one or two. If you do get a critical review, respond to it. Google rewards businesses that engage with feedback, and a thoughtful response often matters more to potential customers than the review itself.
Is it worth upgrading to Business for this?
That depends on how competitive your local search is. If you're in a suburb with 15 cafes, your Google Maps ranking directly affects walk-in traffic — and review count is one of the biggest factors. The Business plan at $169/month includes 400 SMS credits, so the review automation typically runs at no extra cost for most cafes. If you're already on Professional and you're getting decent foot traffic from Google, it's worth trying.
Can I edit the SMS message?
Yes. Go to Settings → Google Reviews to customize the template. The default message works well as a starting point: "Hi [Name], thanks for being a regular at [Cafe]! Would you mind leaving us a Google review? [link]" If you want to add your own voice, go for it — just keep it under 160 characters so it sends as a single SMS.
